Who We Are
When To Leave ("we", "us", "our") is a travel utility app that calculates the exact time to leave for the airport. Our website is whentoleave.co and our app is available on iPhone. For privacy matters, contact us at: privacy@whentoleave.co
What Data We Collect
We collect only what we need to provide the service:
- Email address — when you create an account or subscribe, used to manage your subscription and send essential service communications
- Subscription status and plan — to determine which features you have access to
- Trip details you enter — your departure location, airport, airline, and flight time. This is used solely to calculate your departure time and is not stored beyond your session unless you choose to save it
- Payment information — processed entirely by Stripe. We never see or store your card details
- Usage analytics — if you consent to analytics cookies, we collect anonymised data about how you use the app (pages visited, features used) to improve the service. No personal identifiers are included
How We Use Your Data
- To provide and operate the When To Leave service
- To manage your subscription via Stripe
- To send you essential account and billing communications
- To calculate your personalised departure time using live data sources
- To improve the app based on anonymised usage patterns (analytics consent only)
We do not use your data for advertising. We do not sell your data to any third party.
Legal Basis for Processing (UK GDPR)
- Contract — processing your email and subscription data to deliver the service you've subscribed to
- Legitimate interests — anonymised analytics to improve the product
- Consent — analytics cookies, which you can accept or decline via the cookie banner
- Legal obligation — where required by law (e.g. financial record keeping)
Third-Party Services
We use the following third-party services to operate When To Leave:
- Stripe — payment processing. Stripe's privacy policy: stripe.com/gb/privacy
- Google Maps Platform — real-time journey time calculation. Google's privacy policy: policies.google.com/privacy
- EUROCONTROL — EU air traffic control status data (no personal data shared)
These services may process data outside the UK. Where this occurs, appropriate safeguards (Standard Contractual Clauses or UK adequacy decisions) are in place.
Cookies
We use two categories of cookies:
- Essential cookies — required for the app to function. These keep you logged in and remember your subscription status. They cannot be disabled without breaking the service
- Analytics cookies — optional. Anonymised data on how you use the app, used to improve it. Only set if you click "Accept all" on the cookie banner
You can change your cookie preference at any time by clearing your browser's local storage or contacting us.
Data Retention
- Account and subscription data is retained for as long as your account is active, and for 7 years after closure for legal/financial compliance
- Trip calculation data entered into the app is not retained after your session ends
- Analytics data (if consented) is retained for 26 months then automatically deleted
Your Rights
Under UK GDPR, you have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — ask us to delete your data ("right to be forgotten")
- Portability — receive your data in a machine-readable format
- Objection — object to processing based on legitimate interests
- Withdraw consent — withdraw analytics consent at any time
To exercise any of these rights, email privacy@whentoleave.co. We will respond within 30 days.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
Children
When To Leave is not directed at children under 13. We do not knowingly collect data from children. If you believe a child has provided us with personal data, contact us and we will delete it promptly.
Changes to This Policy
We may update this policy from time to time. When we do, we'll update the "last updated" date above and, for material changes, notify you by email if you have an account.
